In effect since

The short version: your district’s records are yours. We do not sell them, we do not show them to other districts, and you can export or delete them whenever you want. What follows is the same promise with the details filled in.

1.What we collect

Three kinds of information, and nothing else:

  • Your account. Your name, your email address, your role, the district you belong to, and a scrambled version of your password. We never store the password itself and cannot read it.
  • What you put in. Your equipment, jobs, schedules, notes, photos, the manuals you upload, and the questions you ask the Helper. This is your district’s work, and it is the reason the service exists.
  • What the service needs to run. Ordinary technical records: the address your request came from, the time, and error reports when something breaks. These are used to keep the site up and to stop abuse.

We do not buy information about you from anyone, and we do not run advertising or analytics trackers on this site.

2.How we use it

To run the service you signed up for, which means:

  • Showing your district what is overdue and what is due soon.
  • Answering questions from your own manuals, notes, and job history — and showing the page or entry each answer came from.
  • Sending the monthly summary email to whoever you pick, and account emails.
  • Keeping accounts secure, limiting abuse, and fixing what breaks.
  • Replying when you contact us.

We do not sell your data, and we do not share it with other districts. Every request the app makes is scoped to your district, and a test suite checks that on every run.

3.Who else touches it

A few companies run parts of the service for us. They only get what they need to do their job, and they are not allowed to use it for anything else:

  • Railway — hosting, the database, and file storage, in the United States. This is where your records live.
  • Fireworks AI — the model that reads a sentence into a job and answers questions. Your question and the relevant excerpts from your own documents are sent to it to produce the answer.
  • Resend — delivers the monthly summary and account emails.

Beyond that, we share information only when the law requires it, or if the business is ever sold or merged — in which case the buyer is bound by this policy, and you get notice before anything changes.

4.Cookies

One cookie, and it is the one that keeps you signed in. It holds a signed session value, nothing more. There are no advertising cookies, no tracking pixels, and no third-party analytics on this site. Clearing it signs you out.

5.Getting your data out, or deleted

  • Export it. Download your equipment, jobs, and notes as spreadsheets from the Team page, whenever you want, without asking anyone.
  • Correct it. Edit anything in the app, or ask us and we will fix it.
  • Delete it. Ask, and your district’s data is deleted. An individual account can be removed by a manager on the Team page.
  • Ask what we hold. Write to us and we will tell you.

Depending on where you live you may have further rights over your personal information. We honour them regardless of where you live — write to us using the contact form and we do not charge for it.

6.How long we keep it

Your records stay for as long as your district uses AguaKeep, because a maintenance history is only worth having if it goes back years. After an account closes we keep the data for a short window in case you ask for it back, then delete it. Ask for deletion sooner and we do it sooner. Backups roll off on their own schedule, so a deleted record can survive in a backup for a short time before it is gone for good.

7.Security

Traffic runs over HTTPS. Passwords are stored scrambled and are not readable by us or by anyone who got hold of the database. Access is scoped to one district on every single request. Sign-in attempts and other sensitive endpoints are rate-limited.

No service can promise it will never be breached. If yours is affected, we will tell you what happened and what to do about it, rather than wait for you to find out.

8.Children

AguaKeep is a tool for people doing a job. It is not meant for children, and we do not knowingly collect information from anyone under 13. If you believe a child has given us information, tell us and we will remove it.

9.Changes to this policy

When this policy changes, the date at the top changes with it. If a change actually affects what happens to your data, we will tell the district managers by email before it takes effect — not quietly edit the page.

10.Contact

Questions about any of this, or a request about your data, go through the contact form and reach a person at AguaKeep.
